Before you commit

The £300 scoping session

Before writing any code, we spend dedicated time mapping exactly how your business runs. We examine your paperwork, job flows, van routines and bottlenecks, then produce a detailed written specification and a firm fixed-price quote.

If you proceed with the build

The £300 comes off the build price in full. You pay nothing extra for the scoping work.

If you decide not to go ahead

You keep the full written scope and workflow map to use however you like.

Support and hosting scales with your system, not your headcount.

A bigger system has more moving parts to keep running, so the monthly cost follows the build rather than the number of people using it. There are never any per-seat fees.

What that covers

  • Fast UK hosting and automated daily backups.

  • Prompt fixes if anything breaks or stops responding.
  • Up to two hours of small changes a month (adding a field, changing wording, tweaking a report — does not roll over).

  • New features or whole new sections of the system.
  • Those get their own clear fixed price, agreed before we start.

What happens if you stop paying support?

We believe in earning your business month to month, not trapping you.

Your data

You can export all your business data directly from the system whenever you want. You own your data, always.

Every table exports to CSV or JSON from inside the system whenever you want it — you don't need to ask us. On request we'll also provide a full database dump, plus every uploaded file (job photos, signatures, signed documents) as a single download with an index showing which job or person each file belongs to. No charge, and no need to give a reason.

The live instance

Thirty days' notice either way. Your system stays live to the end of the period you've paid for. After that it switches to read-only for 30 days so you can get everything out at your own pace, then it's shut down and the data deleted. If you want to come back later we can usually restore from backup — ask us and we'll tell you what's involved.

Code ownership

Your system is built on a core we've developed and improved across every job we do — which is why it doesn't take six months or cost £50,000. We keep ownership of that core, and you get a permanent licence to use your system for your business, for as long as you like, whether or not you're still paying us for support. Anything built specifically for you is yours. Your data is yours outright, always. And if you ever want to take the whole thing in-house, the handover price is the build price again, or £6,000 — whichever is higher. We're not interested in holding your business hostage.

Most off-the-shelf field-service platforms charge £45–£80 per user per month. It looks manageable on paper, until you count every driver, apprentice and subcontractor.

And at the end of three years, you still own nothing, still have to work around the tool's limitations, and your subscription goes up the day you put another van on the road.

Flat monthly support. £0 per-seat fees when you add staff.

Our honest limit

If all a business needs is quoting, scheduling and invoicing and is happy to adapt to how a standard tool works, off-the-shelf software is usually the cheaper answer and we will say so. Evryday makes sense when the off-the-shelf products don't fit how you work, leave painful gaps, or become extortionate as your head count grows.

The quote covers getting from the way you work now to a working system your team can use daily.

Terms & transparency

Payment terms & VAT

Straightforward commercial terms with no surprises and no advance payments for support.

50% on signing, 50% on go-live

Half the fixed build fee is due when we sign the scope and commence the build; the remaining half is due only when the system is live and handed over to your team.

Monthly support starts at go-live

You do not pay a single penny for support and hosting during the build phase. Monthly support only begins on the day your system goes live.

No VAT added

Evryday Systems is not currently VAT registered. The price you are quoted is the exact price you pay — no VAT is charged on top.

What changes the price

  • How many different jobs and workflows it needs to handle.
  • Whether staff use it on their phones out on the road.
  • Whether it needs to talk to systems you already use (accounting, CRM, suppliers).
  • How much historical data needs formatting and migrating across.

Every job gets its own fixed quote after a proper scoping session. And if bespoke isn't the right answer for you, we'll tell you — sometimes off-the-shelf software does the job for less.
